This Privacy Policy explains how FolioSpace collects, uses, stores, and discloses personal information when you use our website, app, portfolio builder, account features, AI-based features, paid plans, and related services.

1. Information we collect

We collect information that you provide directly, information created when you use FolioSpace, and information processed by services that help us run the platform.

Account and profile information

  • Name, username, email address, password-related authentication data, account identifiers, and login details.
  • Profile information, portfolio content, project descriptions, links, work history, professional information, and other details you choose to publish or save.
  • Information connected to third-party login providers, such as Google OAuth 2.0 or GitHub OAuth, when you choose to connect them.

Portfolio and media content

  • Images, videos, audio, files, text, project pages, templates, custom styling, and other content you upload, generate, edit, or publish through FolioSpace.
  • Metadata related to uploaded content, such as file names, file sizes, upload dates, and technical processing information.

Usage, device, and technical information

  • IP address, browser type, device type, operating system, pages viewed, actions taken, session data, error logs, and approximate location derived from your IP address.
  • Analytics, performance, security, and diagnostic information used to understand how FolioSpace is used and to keep the platform reliable.

2. How we use personal information

We use personal information to provide, operate, improve, protect, and support FolioSpace.

  • To deliver the Services: create accounts, authenticate users, save portfolios, process uploads, publish pages, manage templates, and provide account features.
  • To fulfill contractual obligations: provide paid plans, manage subscriptions, enable billing, deliver account functionality, and maintain user access.
  • To respond to inquiries: provide support, answer questions, process privacy requests, and communicate about account issues.
  • To send administrative information: send service notices, security alerts, account updates, password reset messages, billing notices, and policy updates.
  • To improve FolioSpace: analyze usage trends, fix bugs, improve performance, test features, and make the user experience better.
  • To protect the Services: detect, prevent, and respond to fraud, spam, abuse, unauthorized access, security incidents, and technical issues.

4. AI-based features

FolioSpace may offer AI-based features that help users create, improve, summarize, generate, or organize portfolio content. These features may include AI applications, AI document generation, natural language processing, image generation, or automation that helps with site setup and content creation.

When you use AI-based features, the prompts, inputs, uploaded materials, generated outputs, and related technical information may be processed to provide the requested feature, improve reliability, prevent abuse, and maintain platform security. We may use third-party AI platforms, such as OpenAI or other AI service providers, where necessary to provide these features.

5. Payments and subscriptions

FolioSpace offers paid plans, purchases, or subscriptions. Payment information is processed through our payment provider. We use Stripe for payment processing and subscription management.

We do not store full credit card numbers on our own servers. Stripe may process payment details, billing information, transaction history, fraud prevention signals, and related information according to its own privacy practices. We may store limited billing records, plan status, invoices, subscription IDs, and purchase history to manage your account and comply with legal obligations.

6. How we disclose personal information

We do not sell your personal information. We disclose personal information only where needed to operate FolioSpace, provide requested features, comply with the law, protect the Services, or complete business-related operations.

  • Service providers: hosting providers, infrastructure providers, analytics providers, uptime and status monitoring providers, email providers, payment processors, authentication providers, and AI platforms.
  • Authentication providers: Google OAuth 2.0 and GitHub OAuth may process information when you choose to use those login or connection features.
  • Infrastructure and security providers: providers such as Cloudflare, hosting providers, and Better Stack may process technical, security, performance, and uptime information.
  • Analytics providers: providers such as Google Analytics may process usage and device information if analytics are enabled.
  • Payment providers: Stripe processes billing, subscription, transaction, and fraud prevention information.
  • Legal and safety purposes: we may disclose information if required by law, legal process, government request, or to protect the rights, safety, and security of FolioSpace, users, or others.
  • Business transfers: we may disclose information in connection with a merger, acquisition, financing, sale of assets, or similar business transaction, subject to applicable law.

7. Cookies, analytics, and tracking

FolioSpace may use cookies and similar technologies to keep users signed in, remember preferences, protect accounts, measure performance, understand usage trends, and improve the Services.

We do not use advertising cookies, retargeting pixels, or Google Analytics Advertising Features unless this changes and we update our privacy disclosures. If optional analytics or non-essential cookies are used, we will handle them according to applicable consent requirements.

8. International transfers

FolioSpace is based in Denmark, but some service providers may process personal information outside the European Economic Area or the United Kingdom, including in the United States or other countries where our providers operate.

Where required, we rely on appropriate safeguards for international transfers, including the European Commission's Standard Contractual Clauses or other lawful transfer mechanisms. We do not rely on Binding Corporate Rules unless specifically stated.

9. Data retention

We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

  • Account information: generally kept for as long as you have an account with us.
  • Portfolio content and uploaded media: generally kept for as long as your account or project remains active, unless you delete the content or request deletion.
  • Billing and transaction records: kept as needed for accounting, tax, fraud prevention, dispute handling, and legal compliance.
  • Security, logs, analytics, and approximate geolocation data: generally kept for a limited period, often up to one year, unless needed longer for security, legal, or operational reasons.

10. Security

We use reasonable technical and organizational measures designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure. However, no online service can guarantee absolute security.

You are responsible for keeping your login credentials secure and for using strong, unique passwords where password-based login is available.

11. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, export, restrict, object to, or withdraw consent for certain processing of your personal information. You may also have the right to appeal a privacy request decision.

12. US state privacy disclosures

For users in certain US states, including California, Colorado, Connecticut, Utah, Virginia, Texas, Florida, Nebraska, and other states with privacy laws, additional rights and disclosures may apply.

In the last 12 months, FolioSpace may have collected identifiers, customer records information, commercial information, internet or network activity, approximate geolocation data, uploaded audio/visual content, and professional or employment-related information that users choose to include in their portfolios. We may disclose some of this information to service providers for the purposes described in this Privacy Policy.

We do not knowingly process personal information of 10 million or more California residents annually, and we do not provide financial incentives in exchange for personal information.

13. Children's privacy

FolioSpace is not intended for children under the age required by applicable law to use online services without parental consent. We do not knowingly collect personal information from children where parental consent is required. If you believe a child has provided personal information to us, please contact us so we can review and take appropriate action.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the effective date above and may notify users through the Services, by email, or by other appropriate means when required.
